Terms & Policies: WIN 2018
Registrations are not complete until all fees are paid in full. Prices and discounts are no longer valid if fees are not paid in full by the end of the promotional period. All registration fees must be paid in full 3 business days (defined as days excluding Saturdays, Sundays, and public holidays) in advance of the event in order to attend, after which the participant will be invoiced 100% of all fees and subject to the cancellation policy.
Payment: Payment by credit card is subject to a credit card fee. Payment by bank transfer must be for the full amount, and any banking fees are to be covered by the participant. If paying via bank transfer, please ensure that your name appears as a reference on the payment and bring a copy of the receipt as proof of payment.
Registration with a Code: Participants using a code still must complete the online registration process 5 business days in advance of the event, after which they expire. Codes only apply to the event fee and any fee for meals or other add-ons must be paid separately.
Ticket Transfers: Transferring a ticket to another person is welcome up until 5 business days in advance of the event and subject to an administration charge of chf 25. If the transfer is processed in a later price period then the initial registration, you will be charged the amount of the price increase.
Participant Information: Registrations and profile updates must be completed by the deadline given to guarantee inclusion in event materials (where applicable).
2. REFUNDS & CANCELLATIONS
All cancellations must be confirmed by email.
Non-attendance: In the event of non-attendance you will be liable for the full cost of the registration. No refund or credit shall be given, in partial or full. WIN does not allow shared registrations.
Unforeseen Circumstances: In the event of death or acute illness for you or your immediate family, the registration of the affected participant may, at our discretion, be refunded or transferred to another event. Requests will be handled on a case-by-case basis and documentation included medical certificates or proof of relationship may be required.
4. FILMING AND RECORDING
Be aware that conference staff and/or attending media representatives will take photographs and record audio and video footage of the proceedings, including audience response and profile. Materials produced may be displayed online or in other ways, e.g., television or print, or used by WIN for marketing purposes. WIN does not sell photos to third parties and the material is for WIN’s ownuse.
We have noted that delegates may take and distribute images or recordings via social networking sites or independent websites. WIN can take no responsibility for material or images used in this way.

WIN will refund the registration fee (excluding any add-ons and transaction costs), less a 10% administration fee.
No refund is possible but you have the option to exchange your ticket for another WIN event subject to a chf 25 fee.
• All material relating to the WINConference, presented before, during or after the event, is subject to copyright and intellectual property rights. The copyright in these materials remains the property of WIN and may not be reproduced in any format without the prior written permission of WIN.
6. VISAS AND OTHER TRAVEL DOCUMENTS
Securing the necessary visa and travel documents is the sole responsibility of the participant. Upon request, WIN can issue an attendance letter for visa purposes. The letter in no way implies the provision of any support, financial or otherwise.
If the participant is unable to attend as result of non-timely or non-issuance of visa or other travel documents, it would be subject to the Cancellation Policy above.
7. LIABILITY DISCLAIMER
General: The laws of Canton of Vaud, Switzerland govern the terms of this agreement.
Force Majeur: WIN may terminate the contract with immediate effect and without any prior warning if due to political or other circumstances (e.g. natural disasters), the Swiss Foreign Affairs Office or the US State Department advise people not to travel to event location. If this happens, WIN reserves the right to postpone the conference and/or change venue. If no alternative venue can be arranged due to time constraints, WIN will keep 75% of the sum of the sponsorship and participant fees to pay expenses derivate of publicity and other internal costs until 10 business days prior to the event. After this date, WIN is obliged to keep 100% of the payment.
WIN reserves the right to modify the program and price at any time.
